How you can use Aider’s Dashboard to quickly see who needs your help & why – helping you manage by exception

In the Aider Dashboard, you can quickly see how clients are performing in real-time, with reconciliation context, to help you proactively prioritise your clients’ needs. You can also filter and sort client data to ensure you're paying attention to the right clients at the right time. This can also help you benchmark data – e.g. for clients in the same industry.

Following is a summary of how to use the Dashboard to identify trends and proactively communicate these with your clients. We recommend regularly communicating with clients throughout weekly, fortnightly, monthly and GST period cycles to ensure they are on track and aware of what's ahead. 



Prioritising client bookkeeping and reconciliations for compliance and advisory purposes

Keep data reconciliations up-to-date for visibility on taxes, cash flow and real-time monthly performance.

  1. Sort and manage your clients by the highest unreconciled items or the oldest unreconciled item date.
  2. Proactively identify clients that need reminders or are at risk of falling behind their reconciliations.
  3. Send clients reconciliation requests directly via the platform.

Support your clients proactively and help them get on top of GST and Provisional Income Tax  

When GST periods have been, or are about to be completed – you can sort clients in Aider by their GST period completion rate to quickly find which clients are at risk of not filing on time. You can also check which clients have completed their GST/BAS period reconciliations, so you know which GST is ready to be processed.

What's the status of my clients’ GST filing?

  1. Sort your clients by highest GST period completion (percentage of the period transactions that are reconciled).
  2. Check if their returns are in draft or finalised using Aider’s Data Compliance Checklist.
  3. Jump into Xero to draft or file completed GST return periods.

 

Are my clients at risk of not meeting their GST filing deadlines?

  1. Sort your clients by the lowest GST period completion to identify at-risk clients.
  2. Send clients reconciliation requests directly via the platform.

 

    Prevent bill shock and provide clients with visibility on tax due dates and forecasted payments to save for.

    • Sort and identify clients with the highest GST forecast value vs. an average period, and contact those clients to help prevent bill shock.
    • If provisional tax is coming up – identify clients with the highest YTD income tax change from the previous year, and contact them about saving more money for tax payments. Also jump into Xero to check year end adjustments and assess impacts.

    Which clients are growing and would benefit from additional services to grow sustainably?

    1. Sort and identify growing clients by the highest revenue or net profit % change from last financial year.
    2. Check their end of month cash position for any potential cash flow management issues.
    3. Send them a summary of profitability and/or cash flow insights, directly via the Aider platform.
    4. Check if they need additional services to help set and track budgets, targets and goals.
    5. Check if they need additional services to help with cash flow management and funding advice to support business growth.

     

    Which clients are struggling with profitability and need help to stay in business?

    1. Sort and identify struggling clients by the lowest revenue or net profit % change from last financial year.
    2. Check their end of month cash position to see if cash flow may be impacted.
    3. Send them a summary of profitability insights and cash flow insights if relevant, directly via the Aider platform.
    4. Check what additional services they may be open to, to help stem losses and stay on top of financials. (Be sure to identify minimum required service and low hanging fruits – some struggling clients may be worried about costs.) 

     

    Which clients are struggling with cash flow management and need help to stay in business?

    1. Sort and identify struggling clients by the lowest end of month cash position or lowest % change (largest decrease) from last month.
    2. Deep dive into their invoicing statuses and profitability insights to see if these could be the root cause of their cash flow problems.
    3. Send them a summary of cash flow insights and profitability insights if relevant, directly via the Aider platform.
    4. Check what additional services they may be open to to improve their cash flow management. (Be sure to identify minimum required service and low hanging fruits – clients already struggling with cash flow may be reluctant to spend more.)

     

    Bonus tip

    Grouping and tagging your clients to support workflows

    • Once you have added your clients in Aider, you can create custom tags to categorise and group clients to support your workflows and processes. These custom tags will appear as custom filter options on the Dashboard. 
    • You can use custom tags for multiple purposes including: 
      • Creating company groups, 
      • Creating client service levels, 
      • Benchmarking client data, 
      • Identifying upsell opportunities, 
      • Identifying churn risks, 
      • Creating bespoke industry groups (e.g. ‘Trade & Construction’ or ‘Hospitality & Cafes’), 
      • And more!
